WHAT PERSONAL DATA DO WE STORE AND PROCESS
Name, phone number, email address, and object-related information (e.g., property address/type) in connection with data storage and processing. For the fulfillment of a contract, such as a rental or purchase offer (subject to legal regulations), we also store and process: date of birth, address, information about residency status (foreign/ domestic), and in some cases, income data (e.g., payslip, income tax notice), and possibly a copy of your ID as required by anti-money laundering laws.
CONTACTING US – PURPOSE OF DATA COLLECTION AND DATA USAGE
If you contact us via the contact form on our website, by email, by phone, or through an advertisement on a property platform (or social media), the data you provide will be stored to process the request (including in accordance with the Distance and Off-Premises Contracts Act (FAGG) and the Consumer Rights Directive Implementation Act (VRUG)) and any follow-up questions. This data will be retained in accordance with the Real Estate Agents Act (mutual support and information obligations) and to preserve our commission claim until the sale/rental of the respective property (see deadlines/deletion). Your inquiry (name/company) will be shared with the client as part of our documentation of services. If a pre-contract (rental or purchase offer) or contract (rental or purchase agreement) is concluded, the personal data mentioned above must be disclosed to us. A copy of your ID must also be provided according to anti-money laundering regulations.
WHEN DO WE NEED YOUR CONSENT?
We require your explicit consent:

if we may retain and process your data after contract fulfillment and expiration of statutory retention periods for future contact.

RETENTION PERIODS / DELETION

For documentation and to safeguard our commission claim, your data will be stored from the time of inquiry until the property is sold (entry in the land register) or rented (signed rental agreement), either through us or another broker/owner.

If a pre-contract or contract is concluded, data will be retained for 7 years in accordance with tax law retention obligations.

If a pre-contract or contract is concluded, a copy of your ID will be stored for 5 years as required by the anti-money laundering law.
After these periods, your data will be deleted from all storage media or destroyed if in paper form. General data (e.g., from a general inquiry) is stored for 6 months for processing and follow-up and then deleted if no consent has been given.
POSSIBLE DISCLOSURE OF YOUR DATA
We store and process the personal data provided to us only as necessary for contract processing (brokerage agreement). Disclosure only occurs to the extent necessary for contractual fulfillment, based on legal requirements or legitimate interests of involved third parties.
